Getting started

How do meetings work?

My schedule → Schedule a meeting: pick who, see when everyone is free, choose a time and add a note and a link or place. Everyone invited is notified and replies on the meeting: I'm going, Can't make it (with a note), or Suggest another time from the times you're both free. The person who booked it sees every reply and can move the meeting to a suggested time with Use this time (everyone is told and replies again). Anyone who hasn't replied gets a reminder the day before; a meeting you decline comes off your week and your phone calendar.

What's the difference between tasks and notes?

Tasks are things to get done: give one a due date for reminders, or give it to someone else, and break it into a checklist. Notes are just for you, like a pocket notebook: no dates, nobody else sees them. Both live under Tasks (My tasks, Projects, Notes); the Notes tile on Home opens your notes.

How do project templates work?Pro

When you start a project, pick a plan under Start from: a ready-made one (recital, open house, building job, new staff member) or one of your own. Admins and directors make their own under Projects → Templates: write the tasks one per line (end a line with a number for how many days before the due date it's due, like Order envelopes - 21), or open a project you'd run again and tap Save as template, next to Duplicate, to keep its tasks, notes, checklists and timing. Task dates count back from the project's due date. If the plan needs more time than the project has, its tasks are spaced to fit, in the same order, so none start out late.

How do I report a repair or ask for supplies?

Home → Repairs (something broken: add a photo and how urgent it is) or Supplies (what to order, how many, and by when). It goes to whoever handles it, and you can follow it until it's done.

How do I sign in?

Enter your email on the sign-in page and we email you a 6-digit code (from TeamSpot, no-reply@teamspot.app). Type it in and you're in; there's no password to remember. If it isn't in your inbox after a minute, look in Spam or Promotions and mark it "Not spam".

Do teachers need to download an app?

No. TeamSpot works in the browser on any phone, tablet or computer. On a phone, use "Add to Home Screen" (Share menu on iPhone, the ⋮ menu on Android) and it opens full-screen like an app, with notifications.

How do I put TeamSpot on my phone like an app?

iPhone: open TeamSpot in Safari, tap Share (the square with an arrow, at the bottom), scroll down and tap Add to Home Screen, then Add. (In Chrome on a newer iPhone: Share at the top right, then Add to Home Screen.) Android: open it in Chrome, tap the ⋮ menu at the top right, then Install app or Add to Home screen, and Install; in Samsung Internet, tap ≡, then Add page to → Home screen. TeamSpot then has its own icon and opens full screen, like an app. Open it from the icon and turn on notifications in your Profile. Your Profile shows these steps for your phone, and Home offers them until it's installed.

How do I set up my studio?

Follow the "Get your studio set up" checklist on Home: add your class schedule, invite your staff, add your rooms, set up timesheets (Pro), connect Google Drive for videos, and send your first announcement. Each step links to where to do it.

How do I invite my staff?

Staff → Add someone. Enter each person's first and last name and email, and choose Staff, Director or Admin. They get an email with a link and sign in with a code. If email isn't reaching them, copy their invite link and text it.

What's the difference between Staff, Director and Admin?

Staff (teachers, front desk) see their own classes, tasks and everything shared with the team. Directors run the day to day: every class and the schedule, time off and subs, injury reports, announcements, timesheets and class feedback. Admins can do all of that and also set the studio up: staff and roles, settings, billing, departments and feature switches.

Can I use it on a computer?

Yes. The office and owners often keep it open on a computer, where it uses a wider layout with a sidebar. Everything works the same on a phone.

Classes and subs

How do I bring in our class schedule?

Admin → Class schedule. Upload a spreadsheet (download our template, or use the export from your studio software), link a Google Sheet, or add classes one by one. TeamSpot matches the columns and teachers and shows any problems before anything is saved.

How do I ask for a sub?

Open your class (My schedule → tap the class) and ask for a sub for the day you need. Colleagues who are free at that time are notified, and the first to accept takes the class; everyone's schedule updates.

What's the note for the sub?

On each class page, the teacher can write a note for whoever covers it: where the class is up to, the warm-up, music cued in the Library, students to keep an eye on. Whoever covers sees it at the top of the class.

How do I request time off?

My schedule → Time off → Request. An admin or director approves it (they see requests on Staff), and it shows on the schedule so subs can be arranged.

Where do recital music, costumes and videos go?

On the class itself: open the class and add the song (upload or link), the costume (photo, PDF or notes) and videos. Whoever covers the class sees them too.

Can I keep notes on a class?

Yes: open the class and use Notes → Add a note. Tick Private and only you will ever see it (admins and directors can't either). Notes that aren't private are seen by everyone who can open the class: its teacher and assistants, admins and directors, and whoever covers it.

How do class ages work?

Each class can have an age range: 1, 18 months, 2, 3 and so on up to 18+. A class from 1 with no upper age is for all ages, and 18+ is adults (a spreadsheet's 1-21 or 18-99 reads the same way); an oldest age of 18 means up to 18, so 12-18 is a teen class. Set it in the class form, or bring it in with the schedule import, either as one Ages column (6-9, 18 months-3, 18+, All ages) or as two columns for the youngest and oldest age. Teachers tick the age groups they teach under Teaching and subbing; sub requests go first to teachers of the class's type and ages, and to everyone free who wants to sub about two hours later. A teacher who leaves every age group unticked gets requests for any age.

Can I change many classes at once?

Yes. Under All classes, open Edit classes in a grid. Every current and upcoming class is a row: change its name, type, level, ages, room or teacher right in the grid, or tick several classes (or all of them) and set one value for all of them at once. Show only the classes missing a type, level, ages, room or teacher to fill the gaps after an import. Changed cells are highlighted until you tap Save. Teachers are told when they get or lose a class or its room changes; days, times and dates are changed on each class.

Can I import my schedule from my old studio software?

Yes. Under All classes, import its class export as it is (CSV, or a Google Sheet link). TeamSpot guesses which column is what and you can correct it: the day and time together ("Tu from 4:00pm to 5:00pm") or apart, a column per weekday with the times in it, ages in one column or two, teacher names (full names, "Last, First" or "Dianne H."), rooms that are just numbers, and report title and total lines are all handled. Pick the session the classes go into: a new one (named from your file when it names one, like Fall 2026–2027, else from the dates), one you already have (classes without their own dates take its dates), or none. Check the preview, then import. Anything missing can be filled in afterwards with Edit classes in a grid.

How do studio policies and acknowledgments work?

Admins share the handbook, social media policy, code of conduct and other documents under Admin → Policies & agreements (or Policies), as written text or a PDF, with types they define. For each one they choose what staff do: nothing, a read receipt (recorded when they open it), or an acknowledgment, where each person types their full name and today's date and confirms. Staff see what's waiting on Home, and can read any document again any time from Policies (in Profile and the Library). Admins see who has done it and when, send reminders, export a CSV for records, and publish a new version when a document changes, which asks everyone again while keeping the earlier records.

Can I see one day at a time?

Yes. On a phone, My schedule opens on today; use the arrows for the next or previous day, or Week to see the whole week. In the week, tap a day to open it with every class and event in a big, easy-to-tap row. On a computer it opens on the week; Day switches.

How do lesson plans work?

Open the class → Lesson plans. The teacher, the class's assistants, admins and directors can upload a PDF, Word file or photo, paste a link, or write the plan out, and any of them can remove one.

How do I record the recital dance?

Open the class → Videos → Record the recital dance → Record now. On a phone the camera opens; the video goes straight into your studio's Google Drive (that class's folder) and is linked to the class as its recital video. The studio's Google Drive needs to be connected first (Admin → Video storage). You can also tap the star on any class video to make it the recital dance.

Can classes have assistants or student teachers?

Yes, up to three per class. Admins mark someone as an assistant on Staff (and choose Hourly or Unpaid), then add them on the class page under Assistants. They see the class on their schedule with its music, notes and videos. If they can't make a class they either let the teacher know or ask another assistant to cover. Paid assistants clock in for Assisting (paid by class time); unpaid ones never see a time clock.

How do directors see which classes are ready for the recital?

Classes (Home → Classes) shows every class with its assistants and whether it has its music, costume, recital video and lesson plan. Filter by teacher, assistant, day or style, or show only the ones missing something. Ask sends the teacher a reminder; the buttons on top remind every teacher missing something at once. Costumes are added by whoever looks after them (Staff → Looks after costumes).

Can a class have an accompanist or a guest teacher?

Yes. Open the class → Assistants (or Assistants and accompanists) → choose someone and their role: assistant, accompanist or guest teacher. A class can have up to 3 besides its teacher, and none is fine: private lessons usually have only the teacher, so Class status doesn't count them as missing an assistant. Everyone added sees the class on their schedule.

Can we choose what Class status tracks? We don't have recitals or costumes.

Yes. Admin → Classes & levels → Class checklist: untick what your studio or school doesn't use, and Class status, the reminders and each class page leave it out. Music classes have their own list with their own names: lesson plan, repertoire (sheet music, lyrics and backing tracks), performance attire and performance video, where any video counts. A school with dance and music sets each list separately. Each class page shows its checklist, for example 2 of 4 complete.

What's the photo note on a class?

Admins and directors can note students who mustn't be photographed (for example, families who opted out). Teachers see it on the class and again before sharing photos.

Time clock and timesheets

How do I clock in and out?Pro

Tap Time on Home (the first tile), then Clock in: one tap, nothing to choose. It's matched to what's on your schedule: a class you teach, assist or cover (starting within half an hour), or your shift. Tap Clock out when you finish. If the time wasn't a scheduled class or shift, you choose what kind of work it was (Office, Costumes…) and say what you did.

What does "Needs review" mean on Timesheets?Pro

On Team timesheets, anyone with something worth a look before you export shows Needs review: still clocked in (forgot to clock out?), a class on the schedule with no hours from whoever taught it (the sub, if it was covered), entries that overlap or run over 10 hours, over 40 hours in a week (your payroll provider works out overtime), teaching hours on a day with no class, or time added later or edited. Tap the person to see them, fix them, approve, then export. If one needs no fix (they didn't teach that class, a private lesson), tap Dismiss and, if you like, say why. Dismissed checks move to Dismissed at the bottom of the list, where you can undo them; only people who review timesheets see them.

How are teaching hours paid?Pro

By default, Teaching pays the scheduled class time: a 45-minute class pays 45 minutes whether the teacher clocks in early, arrives late or stays after. One clock-in across back-to-back classes pays the classes, not the gaps. The real clock times stay on the timesheet. Everything else (office, assisting, front desk…) is paid exactly as clocked, and admins and directors can correct any entry. Prefer paying teaching as clocked? Change it in Admin → Timesheet schedule.

A teacher forgot to clock in for a class. How do I pay it?Pro

On Team timesheets, tap the teacher (they show Needs review): the class with no hours is under To review. Tap Pay class time and its scheduled time is added and approved in one step.

How does TeamSpot pick who to ask for a sub?

It only asks people who are free (not on time off, not teaching, subbing or on a shift then, and inside their weekly availability). Teachers who teach the class's type (Ballet, Jazz…) and want to sub hear first; about two hours later, or straight away if the class is within a day or nobody fits, it goes to everyone free who subs. Directors see Best matches on each request, with why, and can assign in one tap.

How do I say which classes I can teach or sub?

Your profile → Teaching and subbing (everyone has it, admins and office staff too): turn "I'd like to sub" on or off, tick the class types you can teach (Ballet, Tap…) and star the ones you'd like more classes in, and tick the ages you teach (leave them all unticked for any age). Your weekly availability below sets when you're free. Admins and directors can fill this in for anyone from their Staff page.

I'm subbing a class. How do I clock in for it?Pro

Tap Time and Clock in when you arrive: the class you're covering is matched on its own, so your hours count for that class.

I forgot to clock in. What do I do?Pro

Open Time (your timesheet) → Forgot to clock in? and add the time you worked. It's marked "Added later" so whoever reviews timesheets can check it. You can fix your own hours until your pay period's last edit day.

How does the timesheet schedule work?Pro

An admin enters one pay period as you run it (Admin → Timesheet schedule): its first and last day, the last day staff can edit their hours, and the pay date, plus how often it repeats (weekly, every two weeks, monthly or twice a month). Every later period follows automatically.

How do I approve hours and run payroll?Pro

Timesheets shows a row per person with their hours in each work category for the pay period, and where they stand: Needs review, Ready or Approved. Tap someone to review, fix and approve their hours, or use Approve all ready for everyone with nothing to review. Then Export the CSV (every entry, or hours per person and category) for your payroll provider. Approved hours are locked for staff. Time you add or fix for someone yourself doesn't need reviewing again: what you add is approved as you add it (a note is optional).

Can someone besides admins and directors review timesheets?Pro

Yes. Staff → their name → Settings, tick Reviews timesheets (for example your office manager). They get Timesheets in the menu and can see everyone's hours, fix and add entries, pay class time, dismiss checks, approve and export. Like admins and directors, they can't approve their own time.

Do salaried staff clock in?Pro

No. Mark them Salaried on their Staff page (Settings) and they won't see the time clock at all. Salaried admins, directors and reviewers still review the team's timesheets.

How do shifts work?Pro

Admins and directors schedule front desk and event shifts in Shifts → Schedule a shift: who's on it (or open for anyone), the days they work (tick Mon, Wed, Fri… for one entry), the times of any length, and Repeat every week for a whole season at once. Teachers can work the desk too: if they're teaching, assisting, on another shift or off then, it says so before scheduling (tick Schedule anyway if it's on purpose), and they're not asked to sub while on a shift. Office staff see their shifts on Home and in My schedule.

I can't make my shift. What do I do?Pro

Shifts → Your shifts → Can't make it. The team hears it's up for grabs, admins and directors are told, and the first person to tap Take it covers it. Until someone does, it's still yours; tap I can make it if plans change.

How do I see if the front desk is covered?Pro

Admins and directors: Shifts → Office coverage. Set the office hours for each weekday once, and each day shows who's on (blue), open or called-out shifts (orange) and times nobody is on (red). Tap a gap to schedule a shift for exactly that time.

Rooms and routines

How do I book a room?Pro

Open Rooms from the Toolkit on Home. The grid shows every room for the day, with its classes and bookings shaded: tap a free time in the room you want and the booking form fills in that room and time. Choose what it's for (private lesson, birthday party, rental, rehearsal), give it a name and change the times if you need to. Under Who's running it, tick the teachers (one or several): it goes on their schedule, they're told, and they clock in for it as usual. Anyone busy then (a class, another booking, a meeting, time off) is flagged; book anyway only if you mean to. A room can't be double-booked. Admins, directors and the office book rooms, and so can any teacher an admin allows (Admin → Staff → Can book rooms). You can cancel your own booking; admins and directors can cancel any.

What are routines?Pro

Solos, duos, trios, groups and productions that aren't on the weekly schedule and rehearse when there's time. Each has its teacher, dancers, notes, music, videos and costume in one place. Admins and directors add them; the routine's teacher can edit it.

Which routines are missing their music, costume or video?Pro

Routines → Routine status (admins and directors): every routine this season with how many dancers are in it, when it last rehearsed, and a check or Ask for each thing it should have. Ask sends its teacher a reminder; the button on top reminds every teacher at once. Choose what routines should have in Admin → Classes & levels → Routine checklist.

Does a music school have routines?Pro

Yes, called Performances: solos, duets, trios, ensembles and musical theater productions rehearsed outside the weekly schedule, each with its teacher, performers, repertoire (sheet music, lyrics, audio), recordings and performance attire if you track it. A school with dance and music sees Routines and Performances on their own tabs. Not using them? Turn Routines and performances off in Admin → Features.

How do I add the dancers to a routine?

Open the routine → Edit, and paste the names into Dancers (Performers for a music performance): one per line or separated by commas, from a spreadsheet, an email or anywhere. One dancer or a hundred; TeamSpot counts them, and a long list folds away on the routine page.

What if a teacher or room is already busy when I add a class?

TeamSpot checks every week of the class before saving it: the teacher's and the room's other classes and private lessons, room bookings and rehearsals. If something is in the way it says what and when (for example: Nina already has Piano lesson, 3:30–4 PM every week) and doesn't save. Change the time, teacher or room, or tick Add it anyway. Time off doesn't stop a class; that's what subs are for.

Do routines and performances have their own categories?

Yes. Dance routines use dance categories (Dance Company, Pre-Company…) and music performances music ones (Jazz Ensembles, Choirs…). Add them under Categories on the Routines or Performances tab; each tab shows only its own.

Is there a tour of the app?

Yes: Show me around, on the Help page (and on Home when you're new, and in the demo's top bar). It visits the pages you'll use one at a time, with a short note on each and Back and Next: teachers see their schedule, subs, chat, the library, tasks and their profile; admins and directors also see All classes, Class status, Staff, Timesheets, the studio calendar and Admin. Close it any time and start again from Help.

Where do I start? Is there a setup guide?

Yes: Admin → Setup guide (also linked from Home while your studio is new). It appears once your studio's account is created and walks you through it step by step, about an hour in all: add your season, export and import your class list (with the steps for your current studio software), check rooms, styles and levels, invite your staff, connect your Google Drive, and send your first announcement. Each step ticks itself off when it's done.

Do we need a session before adding classes?

Yes. A session is your term or season (Fall 2026–2027, Summer 2027), and every class belongs to one, so each season's schedule stays together and next season can start as a copy. All classes asks for your first session before anything else; then you add, import or copy classes into it. Rows in a spreadsheet without dates take the session's dates. A class whose own dates don't fit any session is listed under Not in a session, with a one-tap way to widen the session it overlaps or add one over its dates; either way it joins automatically.

Does importing our class list set up rooms, styles and levels?

Yes. Import a spreadsheet, a Google Sheet or your studio software's export (All classes → Spreadsheet or From another system). Rooms, styles (types) and levels the file names that you don't have yet are added, every class is linked to its room, and ages like 6-9, 18 months-3 or 18+ are read for each class. At a school with dance and music, instruments, voice and music classes (Piano, Beginner Guitar, Kids Choir) go on the Music side and the rest on Dance. Check the new rooms in Admin → Rooms and the rest in Class types & levels.

Can a room be only for dance or only for music?

Yes, at a studio that teaches both. Admin → Rooms: each room is for Dance, Music, or Dance and music (new rooms too). Adding a dance class or private lesson then offers only dance rooms and rooms for both, a music one only music rooms and rooms for both, and planning rehearsals shows the rooms that fit routines or performances. Rooms start as Dance and music, so nothing changes until you set them.

How do I book a rehearsal for a routine?Pro

Open the routine and tap Book a rehearsal room, or book Rehearsal in Rooms and tick the routines. Several routines can share one room and time, and one teacher can run several of them together. The routines' teachers are ticked under Who's running it, so it's on their schedule and they clock in for it.

How do I plan a whole afternoon of rehearsals?Pro

Routines → Schedule rehearsals (admins and directors). Pick the day and a time frame, like 2 PM to 6 PM: each room is a bar across that time, with its classes and bookings shaded. Routines are listed with a color for when they last rehearsed: green within a week, yellow within 2 weeks, orange within 3 weeks, red longer or never (red ones come first). Drag a routine into a room (on a phone or tablet, tap the routine, then tap the room). On free time it starts a block: set its start and end time, which stay inside that free stretch, so a block next to a booking starts right after it or ends right before it. Drop more routines on a block, or on a rehearsal already booked, to rehearse them together. Tap a block (planned or booked) to pick who runs it: one or more teachers, even for a single routine; the routines' teachers are ticked to start with. Nobody can be in two rooms at once, so someone teaching a class or running something in another room then can't be ticked. A ⚠ means someone is off or busy then (a shift, a meeting). Nothing is booked until you tap Book; each teacher is then told once with all their rehearsals.

How do I see how often each routine has rehearsed?Pro

Each routine shows its rehearsals: how many are done, the total time, the latest date and the next one booked, with the full history. Admins and directors have Routines → Rehearsal report: every routine with its completed rehearsals, time, latest rehearsal (in the same colors as the planner) and next one, flagging routines never rehearsed or not in two weeks; filter by teacher or category and export a CSV. A rehearsal counts as done once its booked time has passed; canceled ones don't count.

Photos and videos

Where are videos stored?

In your studio's own Google Drive. An admin connects it once (Admin → Video storage) and picks a folder. Videos then upload from the phone straight into a subfolder for each class, studio date or routine, and TeamSpot saves the link. TeamSpot can only see the files it adds and that folder.

Staff can't open a video. Why?

They need to be signed in to Google with the same email they use in TeamSpot; TeamSpot shares the video folder with that email automatically. If their email isn't a Google account, the admin can share the folder with them in Google Drive.

How do event photos work?

Open a studio date → Photos & videos → add photos. They're shrunk on the phone before uploading. Everything is gathered on the Photos page for marketing. Photos are removed 6 months after they're added unless someone stars them to keep.

How much storage do we have?

Essentials includes 2 GB of files and Pro 20 GB per studio; videos in your Google Drive don't count. You can see what's used in Admin.

Admin settings

Where do I see and change what each person does?

Staff (on Home, and in the sidebar on a computer), for owners, admins and directors. Open someone to see their week (classes, assisting and shifts together, with clashes flagged), give them a class, add them as an assistant, add their front desk or office shifts, and see their departments, routines, availability and time off. Admins also add people here (Add someone) and change their role, pay and title under Settings.

Can I turn off features we don't use?

Yes. Admin → Features: turn any feature on or off for the whole studio, and add exceptions for particular people (off for everyone except a few, or on for everyone except someone).

What happens when someone leaves?

Staff → their name → Settings → Remove from studio. Their private documents and notes are deleted, their classes and future shifts become unassigned (classes keep their name so you know who to replace), and tasks someone gave them go back to that person. Their timesheet hours and any injury reports are kept.

What happens when I delete a class?

Its files (music, costume photos) and notes are deleted too. Videos in your Google Drive stay there; they're in your Drive.

What's in the moves library?

Library → Moves: each move has a type (Tap, Jazz, Acro…), a video link or upload, and written steps. Filter by type or level, and tick a move once you've taught it; only you see your ticks.

How do favorites work?

Tap the heart on any syllabus, playlist, move or idea. They're all in Library → Favorites, which only you can see.

How do I pin a link to Home?

Admins and directors: on Home, Quick links → Add (or Edit). Pin a link for everyone, one department (like Competition) or chosen teachers; each person only sees the links meant for them.

How do I bring in my teachers and syllabus quickly?

Teachers: Staff → Add someone → Paste a list, and paste names and emails straight from a spreadsheet. Syllabus and music: Library → the upload button, choose all your files at once, and each is filed under the type and level in its name. Classes: All classes, then upload your spreadsheet or link a Google Sheet; types and levels in it that you don't have yet are added for you.

How do I set up class types and levels?

All classes → Class types & levels (admins and directors; also linked from Admin). Add your types, like Ballet, Jazz, Tap and Hip Hop, and your levels, like Preschool, Level 1, Level 2 and Advanced: every type shares the same levels. Type several at once, separated by commas, and put levels in the order they progress. Then each class gets a type, a level and a description, which is shown as its name (like Ballet · Level 2 · "Ballet 2 (Mon & Wed)"). The Library files syllabus, music and videos by type and level, and the sub finder asks teachers who teach that type first.

How do I add a private lesson?

All classes → Private lesson (admins and directors). Type the student's name, pick the teacher, the instrument or type, the day, start time and length (30, 45 or 60 minutes) and the room, then choose this week only or Every week until a date. If the teacher or room already has something then, you'll see what and can add it anyway. A lesson is on the teacher's schedule like a class: they clock in for it, ask for a sub and it's on Timesheets. Only whoever teaches, subs or assists it, admins and directors see the student's name; it's never in notifications. Filter All classes by Group classes or Private lessons.

How does the room calendar on a private lesson work?

All classes → Private lesson shows every room for the lesson's day as a bar, with its classes and bookings, and the teacher's day above them. Tap a free spot in a room to put the lesson there (it snaps to 15 minutes), or type the time and pick the room. The lesson shows blue when it fits and red when it overlaps something. For Every week, each week until the end date is checked as you go: the teacher's and room's classes and lessons, room bookings, the teacher's time off and, for a school instrument, whether one is free. Closed days don't count. After you add one, the form moves on to the next slot for the same teacher.

How do we keep track of our instruments?Pro

Music schools and schools with dance and music: Home → Instruments (admins and directors keep the list; everyone can see it). Add each instrument with its type (Piano, Guitar…), how many you have (Student guitars × 6) and, for one that stays put like a piano, its room. When you add a music lesson, choose Student brings their own or Uses a school instrument; the form shows how many are free at that time every week, and won't double-book the last one unless you add it anyway. If students always bring their own, switch Instruments off in Admin → Features.

We're a music school. What changes?

TeamSpot is one app for dance and music: Admin → Studio settings → What you teach has two switches, Dance and Music, and a school that teaches both ticks both (a business ticks them for each location when adding it). A music school gets Private lesson first on All classes (dance and music gets both buttons side by side), and Class types & levels suggests instruments (Piano, Guitar, Voice…) in one tap. Instruments are your class types, so the sub finder asks teachers who teach that instrument first. A business with dance studios and music schools can look at one kind at a time on its business page. With Dance and music, each type is marked Dance or Music in Class types & levels, and adding a class or private lesson starts with Dance or Music, so only those types show. Started with dance and added music (or stopped)? Turn the switch on or off any time: every class, lesson, type and instrument is kept.

Where do staff find the studio's phone number and address?

On Home, under Studio: tap the number to call, or the address to open it in maps. Admins set both at sign-up or under Admin → Studio settings (a business sets them for each location when adding it). Until they're set, admins see a reminder there and staff see nothing.

Can I choose which notifications I get?

Yes. Notifications → Choose what you get notified about, and untick what you don't want on your phone (chat, tasks, polls…). Unticked ones still show on the Notifications screen. Announcements you're asked to confirm always come through.

Can I schedule an announcement?

Yes, admins and directors: when you write an announcement, pick a date and time under Send later. It goes out then, and you can cancel it until it does.

Can I send an announcement to just some people?

Yes, admins and directors. In Send an announcement, choose To: everyone, by role (admins, directors, teachers, assistants, the costumes team, or office and other staff), the teachers and/or assistants of the classes you tick, a department, or people you pick. Only they get it. You see it too, and if you asked them to confirm, how many of them have.

I didn't turn on notifications. Will I miss things?

No. While notifications are off on all your devices, TeamSpot emails you a summary of anything new once a day, at 7 AM (only what you haven't already seen, and nothing if there's nothing new). Turn notifications on and the emails stop, or untick Email me a summary under Notifications → Choose what you get notified about.

Where do we list the studio's social media?

Admin → Social media: type your Instagram, TikTok and other @handles, or paste links to your Facebook page, Google reviews or website. Everyone sees them under Social on Home and taps through to the app or the website.

Can we use our existing Google Drive folders?

Yes. Library → Drive → Link a Google Drive folder, and paste the folder's link (share it with your staff in Google Drive first). Everyone browses it, subfolders and all, inside TeamSpot. To make files searchable in TeamSpot, upload them instead: Library → Upload files, where you can drag in whole folders (folder names become the style).

How do we cancel?

Billing → Cancel subscription. It ends on the last day of the billing period you've paid for, and nothing more is charged. Nothing is deleted, and you can keep your plan after all from the same page until then.

How do departments work?Pro

Admin creates departments (Office, Preschool, Performance, Competition, Repairs & building, a private line to the owner…) and chooses who's in each. In a small studio a department is often just the owner or the office manager. Staff ask a department from Depts; its members reply. Mark a department private and only the person asking and the people in it can read it. A department can also handle repairs or supplies, so those requests go straight to it.

How do I see how a teacher is doing?Pro

Reports → People. A row per person for the month (or last month, the year to date, last year or any month): classes taught, call-outs and how many were short notice, classes they covered, late or missing clock-ins for classes, tasks done on time and hours. Tap a name for their full report, with classes taught month by month. Admins see everyone; directors see the people who report to them (set on each person's Staff page). Admins choose how late counts as late, at the bottom of the report.

What's on the dashboard?

This week's classes and sub gaps, requests and injuries, and staff app use. With Pro, also timesheet hours for the current pay period, projects running late, room bookings, and the last 90 days or year, plus Reports: this pay period (who's clocked in, what's waiting for approval), projects and the tasks that are late or blocked, classes due for an observation, room availability, and charts of hours, subs, repairs and injuries over time.

Notifications and account

How do I add a profile photo?

Profile → Add a photo. Pick any picture: TeamSpot uses the middle of it as a small square, shrunk on your phone before it's sent. It shows next to your name for your team (on timesheets, for a start), and it's the same in every studio you belong to. Change or remove it there any time. Without one, your initials show instead.

Who sees my emergency contact?

Profile → Emergency contact: the person to call if something happens to you at the studio, with their phone number. Only you and your studio's admins see it (not other staff, directors or TeamSpot support); admins find it on your page under Staff. Enter it once and every studio you work at has it. Clear both boxes to remove it.

How do I contact TeamSpot?

Help (the ? on Home) → Contact support. Choose whether something isn't working, it's a question or an idea, and send it. Only you and TeamSpot see it; the reply arrives in the app with a notification.

How do I turn on notifications?

On a phone, add TeamSpot to your Home Screen first, open it from there, then allow notifications when asked (or turn them on from your profile). On a computer, allow notifications in the browser when asked.

I'm not getting the sign-in code.

Wait a minute and look in Spam or Promotions. Check the email address is spelled right ("Use a different email"). You can resend a code after a minute.

Can I belong to more than one studio?

Yes. If you work at several studios that use TeamSpot, you'll pick which one to open after signing in. Businesses with several locations see each teacher's week across all of them.

Privacy and data

Who can see what?

Each studio's information is completely separate. Staff see their own classes, tasks and what's shared with the team; private notes stay private; confidential department requests are seen only by that department and the person asking; class feedback only by the teacher, admins and directors.

Is our information secure?

It's encrypted in transit and at rest, and access is checked by the database itself for every request. See the privacy policy for the details.
